How to comment on documents you've been asked to review

When a document is sent for review in Cognidox, you will receive a notification either in your "Documents to Review" portlet or via an email with a direct link. Once you navigate to the document's review page, you will see the list of reviewers and their responses. You can respond to a review request in three different ways:

  • Entering comments directly
  • Attaching a document
  • Using shared notes.

1. Entering Comments Directly

The simplest way to respond is by typing your comments into the provided text field:

  • Click the Answer button next to your name in the review list.

  • Type your feedback in the comments box.

  • Choose whether to copy other reviewers on your response.

  • Select either Updates Required (if changes are needed) or Good to Go (if the document is acceptable as is).

  • Click Submit Review to send your feedback.

Once submitted, the document author will receive your response via email, and your review status will be updated in the system.

2. Attaching a Document with Comments

If you prefer to provide detailed feedback within a separate document:

  • Click the Answer button as before.

  • Instead of typing comments, upload a file that contains your review notes.

  • Select Updates Required or Good to Go as appropriate.

  • Click Submit Review to finalize your response.

This method is useful when providing extensive changes or markups that are easier to convey within a document.

3. Using Shared Notes in the Preview

A third way to respond is by adding shared notes directly onto the document preview:

  • Open the document in Preview mode.

  • Click and drag to highlight areas of the document where you want to add comments.

  • Type your feedback into the text box that appears.

  • Click Accept to save each note.

  • Once all notes are added, select Share Notes to make them visible to other users.

  • Return to the review screen, type a brief comment (e.g., "See shared notes"), and select Updates Required or Good to Go.

Shared notes provide an interactive way to pinpoint specific areas in the document that need attention.

Finalizing the Review

After submitting your review, your response will be logged, and the document author will be able to see your feedback. If necessary, additional reviewers can be added through the Action Sidebar.

By using these three methods, Cognidox allows for a flexible and comprehensive review process, ensuring that feedback is clear and actionable.
