Creating LMS Training Requirements

📝 Overview

A training requirement, along with its versions, defines what trainees need to do to complete a course — such as reading a policy, watching a video, passing a quiz, or submitting evidence. This is the starting point for every course in the LMS.

  • Training requirement: A reusable structure that defines the title, description, duration, trainees (user groups), and managers.
  • Training requirement version: A specific instance of a training requirement, that includes the necessary training materials, quiz questions, and so on for users to undertake some training. See this article for more details.

🧱 What is a training requirement?

A training requirement holds the basic metadata for a course:

  • Title and descriptions

  • Completion deadline (in weeks)

  • Recurrence settings

  • Feedback options

  • Assigned users (trainee user groups) and managers (user groups and/or individuals)

Admins and managers with the appropriate user rights can add one or more versions to a requirement later, each with different content or configuration.

Here are some other ways to think about training requirements:

  • A training requirement version is a set of actions a user must complete in order to gain a skill level on a skill. We cover skills in another article/video.
  • Training requirements may be used in multiple training objectives. Again, training objectives are covered later in this series.
  • A training requirement provides much of the same functionality as view policies. They can be used without needing to incorporate skills and objectives.

🛠 How to create a training requirement

  1. From the My Training portlet menu, choose Manage the Learning Management System → Training Requirements

  2. Click Add Requirement

  3. Fill in the following fields:

    • Title – A clear name for the course

    • Admin Description – For internal use (admins only)

    • User Description – What learners will see in their portal

    • Weeks Allowed for Completion – e.g. “2” means users must finish within 2 weeks
      If this is set to zero, and a new Requirement Version becomes active, and all existing Training Records are invalidated, then new Training Records will be created that are immediately overdue.

    • Requirement Duration – e.g. “12” months for annual recurrence
      Number of months for which a requirement once completed is still valid. If blank, a completed training record never expires. If set, it must be greater than or equal to 1 month.

    • Auto-Repeat – Enable to send reminders when retraining is due

    • Feedback Required – Set to Yes to collect user feedback after training

    • Visible – You can hide old or obsolete requirements if needed

  4. Assign user groups or individuals for:

    • Requirement Managers – Can edit the requirement

    • Requirement Reporters – Can view related training reports

    • Requirement Users – The group(s) of users who must complete the training

  5. Click Save Requirement.


🔄 What happens next?

You now have a working training requirement. From here, the recommended order of doing things is:

  • (LMS admin) Create a quiz — like a training requirement, a quiz is a container for quiz versions; it's important to assign managers who can then create quiz versions
  • (LMS managers) Add one or more quiz versions

  • (LMS managers) Add one or more requirement versions; Attach training materials, quiz versions, and evidence rules

  • (LMS managers) Activate the training (set it to current)
