After uploading a file, the Document Details page provides key information and actions related to that document.

This article explains what you see on the Document Details page, and goes into a bit more detail about issues, versions and approval status.

Key Elements of the Document Details page

  • Part Number: The unique identifier for the document.

  • Master File & PDF Preview: The original uploaded file (e.g., Word document) and its automatically generated PDF.

  • Document Status: Unapproved drafts appear in bold red, indicating they cannot be published externally.

  • Metadata: Displays information such as author, categories, and issuer.

  • Download & Edit:

    • Click on the document icon to download the master file.

    • Click the Checkout button to edit the document.

    • Open the PDF preview by clicking on the PDF icon.

Cognidox uses red and black text to indicate document approval status:

  • Red Text: The document is an unapproved issue or draft.

  • Black Text: The document has been approved.

You can check a document's approval status in two ways:

  1. Document Details Page: Displays whether a document is approved or not.

  2. Approval History Page: Shows the full approval timeline.

Do All Documents Need Approval?

Not all documents require approval to be useful. The red text serves as an informational alert to prevent unapproved documents from being published externally.
