Synchronization

Understanding and triggering updates between Cognidox and the Extranet

Cognidox and the Extranet operate on a synchronization system that ensures published documents and access rights are kept up to date across both platforms.

How synchronization works

  • By default, Cognidox prepares and packages updates every 45 minutes past the hour.

  • These updates are then securely transferred to the Extranet server.

  • Once the transfer completes, the Extranet loads the latest documents and access settings.

This automated system ensures regular syncing without manual intervention in most cases.

Triggering a manual sync

If you need to update the Extranet immediately (e.g. after an urgent publication or access change):

  1. Go to the dashboard in Cognidox.

  2. In the Action Panel, select Manage Cognidox.

  3. Choose Cognidox Reports.

  4. From the dropdown, select Extranet Update Times.

  5. Click the Start Update button.

The system will begin the transfer and, once completed, the Extranet will reflect the new data.
