Publishing documents to Extranet

How to mark documents as publishable

Before documents can be published in Cognidox, several key conditions must be met. These are discussed in the video, and summarized in the text below the video.

 

Conditions for publishing

The conditions that must be met before a document can be published to Extranet are as follows:

  1. Document Location:
    The document must be placed under a top-level Extranet category (by default called “Extranet”). This ensures it is browsable on the Extranet. However, documents can still be accessed by search or direct link even if not in this category.

  2. Approved Issue:
    Only documents with an approved issue can be published. Drafts or documents in the middle of an approval cycle cannot be published — unless using the Beta Access feature for selected licensees.

  3. Publishable Status:
    The document must be marked as “Publishable”. This can be done in two ways:

    • From the Document Details Page: Use the “Extra Header” dropdown and select “Publish this document”.

    • In Bulk from Document Lists: Select multiple documents, click the “Status” button in the action bar, then choose “Published” from the dropdown menu.

To unpublish documents in bulk, use the same method and select the “Unpublished” option.
