Managing Categories in Cognidox
How to move, rename, delete, and display category usage
Some of these operations are available via the Manage this Category button. The Category Usage button is at the top of the category listing.

- Display category usage (useful, for example, to see which categories don't contain any documents, and can therefore be deleted)
Moving a category
To move a category, and all its content:
- Navigate to the category you're interested in.
- Click Manage this Category and display the Move tab.
- Use the drop-down lists to select a new parent category and click Move Category.
All the documents and sub-categories in the current category will be moved under the new parent category.

Renaming a category
To rename a category:
- Navigate to the category you're interested in.
- Click Manage this Category and display the Name & Help tab.
- Change the New name field (and New subtitle field if necessary) and click Rename.

Deleting a category
You can only delete a category if there are no documents in it, or any of its sub-categories.
- Navigate to the category you're interested in.
- Check there are no documents in the category, or any of its sub-categories (a quick way to do this is to use the Category Usage button, described below).
- If the category does contain documents, you will need to move them (preferable) or delete them (not recommended) to empty the category (and its sub-categories). See Moving and copying documents in the online help.
- Click Manage this Category and display the Delete tab.
This tab will only be available if there are no documents in the category, or any of its sub-categories. - Click delete this category.

Displaying category usage
The Category Usage function displays a list of all sub-categories and documents in the current category.
- Navigate to the category you're interested in.
- Click the Category Usage button at the top of the category listing.
The Category Listing page shows a hierarchical list of everything in the current category.
- The number next to each sub-category shows how many documents are in that sub-category.
- You can download an Excel Spreadsheet or a Freemind Mindmap of the listing.
