How to Add Users in Cognidox

Adding users and sending password notifications

On Cognidox hosted servers, administrators can manage users directly. This includes adding or updating multiple users at once using a bulk upload spreadsheet, or adding individual users manually without the need for a spreadsheet.

Note the following:

  • User management for single sign-on (SSO) is for hosted customers only
  • In most self-hosted Cognidox systems, user management is handled via user source plugins (see On-premises customers for details).

Adding/editing multiple users (bulk upload spreadsheet)

Hosted customers can follow the video and instructions below.

Note: On-premises customers should check the online help.

To add multiple users with this method:

  1. Choose Manage Cognidox > Users, Groups & Security > User and Group Rights.
  2. Click Upload Users, then decide which spreadsheet to download (blank, or current users).
  3. On your local PC, edit the spreadsheet and save it.
  4. Back in Cognidox, click Choose file, select your local file and click Upload Users.

Adding/editing individual users manually

Here's how to add a single user without using the spreadsheet.

  1. Choose Manage Cognidox > Users, Groups & Security > User and Group Rights.
  2. In the Users section, click Create User.
  3. Fill in the Login, Name, and Email.
  4. At this point, you can optionally set a Password, Role Group, and specify one or more User Groups.
  5. Click Create User.

Sending password notification messages

You can send account password notifications when adding new users.

  • Send as part of adding an individual user account
  • Send when bulk uploading user accounts via a spreadsheet
