Document Holders: Advanced Features
How to reuse work efficiently with Document Holder templates, cloning, and shared sections using section IDs.
Once you’ve mastered the basics of building Document Holders in Cognidox, you can speed up your workflow by reusing structures you’ve already created. Whether you’re working with boilerplate content or repeating the same format across products, advanced features like templates, cloning, and section inclusion can save time and improve consistency.

Using Document Holder Templates
Templates are great for Document Holders you build regularly—like product release packages, technical files, or design phase checklists.
A template is just a regular Document Holder stored in your company’s designated template category.
To use a template:

Create a new Document Holder part number.

Add a draft or issue and click Edit Online.

In the left-hand panel, expand the Templates section.
-
Select a template and click OK to load it into the editor.

Update section headings, documents, or notes as needed.
🔗 You can create your own templates by building a Document Holder in the template category and getting it approved.

Cloning an Existing Document Holder
If you want to use a one-off Document Holder as the basis for a new one (without setting it up as a template), use the Clone tool.
To clone:

Create a new Document Holder and open it for editing.

Expand the Clone panel on the left.

Search by title or part number to find an existing Document Holder.

Click to select it, then confirm to clone its structure and contents.
Cloning copies everything—section layout, document links, and descriptions—which you can then edit.

Reusing Sections from Other Holders
Sometimes, you don’t want to reuse a whole Document Holder—just a part of it. You can do this by including sections from other Document Holders using section IDs.
To reuse a section:

In the source Document Holder, assign a unique Section ID to the section you want to reuse.

In your new Document Holder, open it in the editor.

Search for or browse to the source Document Holder and drag it into your new holder.

Choose which section to include. You can also choose the version of the DH.
This creates a live link to that section—any updates in the source will be reflected when the containing holder is re-issued.
⚠️ Reuse only works with approved Document Holders.
